General Rental Policies - Rental Period/Reservations/Delivery/Spares

California Stage and Lighting, inc., is pleased to accomodate your rental requirements and requests your adherence to our general rental policies.
Your cooperation in this will insure a smooth transaction for both you and Cal Stage.  Please review these policies prior to picking up your order.

Rental Periods and Rates

  • The minimum rental period is one day.

  • Rental shop hours are from 9:00 AM to 4:30 PM Monday through Friday.  No pickups or returns are done except during these stated hours.  Cal Stage is not open Saturdays or Sundays.

  • Equipment is due back by 11:00 AM of the date due.  See the "Return Date" on your quote.

  • Equipment not returned by 11:00 AM may be charged at the applicable rate for the rental period (day or week).

  • Rental Period Definitions:  
    A 'one day' rental is actually good for up to three days.  Pick it up Monday, use it Tuesday, return it Wednesday.  A weekend is also considered to be a 'one-day' rental.  A ' week' rental is made for periods longer than three days, up to seven days including return (Friday to Friday, Monday to Monday, etc.).  Please note, however, that if you have agreed to return an item of equipment on a specific date (See Return Date on your quote) then failing to return it by that date may result in additional fees or rental being charged.

Reservations

  • "Can you just reserve that for me?"  Unfortunately, no.  Equipment on confirmed orders only is reserved.  Keep reading.
     

  • If you call us to place an order, first we will determine the availability of the equipment you wish to rent for the day of your projected use.  This also allows you to be aware in advance of the total due on the order.  At this stage, your request is in 'quote form,' and does not constitute an order.
     

  • Quotes written for you in person can be confirmed at the time you have the quote written.  For certain sorts of orders, prepayment, a credit card number or your signature (or several of the preceding) may also be required to confirm your order.
     

  • Quotes written for you over the phone are confirmed in the following way:  
    We will fax you a copy of the quote which you must sign and fax back.  In addition, non account holders must complete a credit card authorization.  Under certain circumstances, prepayment in part or full may also be required.
     

  • For certain types of Rental Equipment, proof of insurance may be required, generally as a rider to your existing policy.
     

  • If you require equipment on the same day, we strongly suggest that you call first to insure availability, and please allow our staff sufficient time to pull and prep your order.  
    Same day orders may be subject to a 'rush fee.'
     

  • Cancelled orders:  Orders cancelled with less than 24 hours notice may be subject to a 20% restocking fee, at Cal Stage's option.

Delivery and Pickup

  • Equipment is rented on a customer pick-up and return basis from our business location.
     

  • "I'm running late...can you stay open a few more minutes for me?"  Our rental shop closes at 4:30 p.m. each day. Arrangements may sometimes be made with advance notice, but the more notice, the better the chance.  Under any circumstances, any pickup that you wish to make before 8:30 a.m., or after 5:00 p.m. will also incur labor charges at time and a half on an hourly basis.
     

  • Cal Stage Delivery
    There is an additional charge for this, the exact amount will depend on the exact size of the order, and the distance travelled from Cal Stage to your location. Gas surcharges on a per-mile basis also apply.

Spare Lamps

  • Except to other rental houses, Cal Stage will provide a reasonable number of spare lamps for rental fixtures at no charge. Typically, we provide 1 lamp for 1-10 lamps rented, 2 lamps for 11-20 lamps rented, etc.

  • All spare lamps must be returned with rental;  if a lamp burns out, the burn out MUST be returned with the rental, along with lamp packaging from the spare. Failure to return either the spare or the burnout with appropriate packaging will result in lessee being charged for lamp at full list price.
